Refund Policy

CLEAR . FAIR . CONSISTENT

How refunds work

This policy outlines how registration and program refunds are managed at Byron Bay Football Club. It aims to be fair, transparent and consistent while recognising the costs involved in running a community football club.

This Refund Policy applies to:

  • MiniRoos
  • Youth
  • Women’s
  • Men’s
  • Skills Acquisition Program (SAP)
  • Clinics, carnivals and club-run programs unless otherwise stated

Registration fees contribute to:

  • Association and governing body levies
  • Insurance
  • Ground hire and field preparation
  • Equipment, administration and operational costs

Many of these costs are incurred by the club once a player is registered.

Refunds may be considered in the following circumstances:

  • Serious injury or illness preventing participation
  • Exceptional personal or family circumstances
  • Season cancellation or significant disruption beyond the player’s control

Refunds are not automatic and are assessed on a case-by-case basis.

The following are generally non-refundable:

  • Governing body and insurance fees
  • Transaction or processing fees
  • Uniforms or merchandise already issued
  • Costs already committed by the club

If a player withdraws after the season has commenced:

  • A partial refund may be considered
  • The amount will reflect costs already incurred by the club
  • No refund is guaranteed once competitions have begun

Due to the number of players involved:

  • Individual feedback may be limited
  • Selection decisions are not negotiable

Respectful questions are welcome. Repeated, confrontational or pressuring behaviour toward coaches or selectors will not be tolerated.

We ask families and players to:

  • Trust the selection process
  • Support all teams and players
  • Model respectful behaviour on and off the field

Selection decisions are never personal. They are made to create the best possible football experience for everyone.

This policy operates alongside:

  • BBFC Code of Conduct
  • FFNC competition rules
  • Child safety and wellbeing standards
